For The Record is a research-grade, municipal companion to PolicyShift.ca. It aggregates and organizes municipal councillors' recorded votes, fiscal information drawn from municipal documents, and councillor-submitted responses. It also includes AI-assisted features, such as scoped chat, to assist in navigating these records.

• Sourced from Official Records: Vote outcomes and councillor positions are derived from official council and committee minutes and municipal open-data sources (e.g., eSCRIBE, CivicWeb, and city open-data portals). A recorded outcome reflects the decision as documented by the municipality.
• Attribution Limits: Some municipalities do not record how each councillor voted on every motion (for example, unrecorded or unanimous voice votes). Where the source record does not name individual votes, the platform identifies the motion at the council level rather than attributing it to individual councillors.
• No Warranty of Accuracy: While PolicyShift takes care to parse municipal records faithfully, automated extraction and data processing can misread, omit, or miscategorize information. All materials are provided on an "as-is" and "as-available" basis. PolicyShift disclaims all warranties, express or implied, and shall not be liable for any inaccuracies, errors, or omissions, nor for any actions taken in reliance on this information. Users are encouraged to verify all records against the official minutes of the relevant municipality.

Dollar figures and financial data are extracted from the municipality's own documents (such as the "Financial Implications" sections of staff reports) and are not independently calculated or audited by PolicyShift. These figures may be estimates, subject to change, and may not reflect final project costs. Users should verify these figures against the city's official financial records and audited statements.

For The Record includes AI-assisted features, such as a scoped chat tool ("Ask"). These responses are generated through artificial intelligence and automated analysis of municipal data. They are interpretations, not definitive statements of fact, and may misinterpret context or contain errors. They should not be relied upon as official record or legal advice. Always verify AI-generated summaries against the primary source documents provided.

Where a councillor (or their authorized office) submits a response to be published on the platform, that response is the councillor's own statement. While PolicyShift may perform a manual review for formatting and compliance with community standards, it does not author, endorse, or independently verify the factual accuracy of councillor-submitted statements. These responses reflect the views of the submitting councillor, not of PolicyShift.

For The Record is an educational and informational tool. Nothing on the platform constitutes political advice, a voting recommendation, or an endorsement of any candidate, councillor, or political party. Users are expected to conduct their own research and consult primary sources before making any electoral or advocacy decisions.

PolicyShift does not provide, and the platform should not be understood as providing, endorsements of any political party, government body, councillor, candidate, or advocacy group. Any support or partnerships related to operating or distributing the service do not grant third parties control over, or influence on, the underlying records, their selection, or their presentation.

We aggregate data from publicly available municipal sources, including council and committee minutes, agendas, and official municipal open-data portals. PolicyShift does not claim ownership of third-party source documents and provides citations or links to original documents where practical.

PolicyShift strives for a high standard of accuracy. If you identify a verifiable error in a councillor's record, a vote count, a fiscal figure, or a published response, please contact us. We will review the information and correct any confirmed inaccuracies as quickly as possible.

For The Record may publish AI-assisted videos, images, or audio on social media platforms and on our website to help communicate real, documented political positions and voting records. To be clear: we do not fabricate quotes or positions. AI is used as a production tool to assemble and present factual records at scale.

Where we use AI in media:

• Real quotes, attributed to real people: Any quotes shown are direct quotes attributed to the individual (for example, from an official record, a public statement, or reporting by a news outlet).
• Real sources, explicitly identified: Each piece of media is intended to identify the source of the quote or position (for example, the municipality's official record, a document link, or the news agency/publication where it appeared), so you can trace it back to the original context.
• AI-enabled production (not fiction): AI may be used to automate editing and assembly (for example, selecting on-screen text, summarizing a timeline, generating captions, or assembling footage/graphics). The purpose is the automated presentation of factual records — not the creation of fictitious content or invented statements.
• Use of images: We may use real images of politicians or public officials to help viewers understand who the quote or record relates to. Visual elements (for example, timing, layout, captions, and other stylistic choices) are part of the production process and should not be interpreted as an endorsement by the individual.
• Platform disclosure labels: Where required by a platform's policies, we use platform-specific AI disclosure labels.
